BBCA Membership Privacy & Payment Policy
The Breton Bay Civic Association (BBCA) is committed to protecting the privacy of our members.ย
This policy explains how we handle your information regarding the annual household membership dues and community communications.
1. Our Digital Service Providers
To manage the association efficiently and securely, we utilize the following professional platforms:
Square: Our system of record for financial transactions and membership status.
Mailchimp: Our platform for distributing the community newsletter and official notices.
Google Services: Our secure cloud storage solution for administrative records and historical association data.
2. How Your Information is Handled
Electronic Payments: When you pay via card, your data is encrypted by Square. The BBCA never sees or stores your full credit card details.
Check Payments: If you pay by check, the BBCA manually enters the transaction into Square to maintain an accurate financial audit trail and ensures your household is credited for the year.
Communication Sync: To ensure all active members receive community news, we sync member contact info from Square to Mailchimp.
3. Data Privacy "Opt-Out"
We respect the choice of members who prefer not to have their information stored in digital databases.
How to Opt Out: You may request to opt out through any of the following methods:
Via Mail: Sending a written request to PO Box 67, Leonardtown, MD 20650
Via direct communication with a BBCA Board Member
The Result: Because the BBCA uses these integrated tools for all administration, opting out of digital storage means we cannot provide you with digital services. You will be removed from all email lists and will not receive newsletters, digital receipts, or dues reminders. Members who opt out are responsible for staying informed via physical community postings or attending public meetings.
4. Our Commitment to Privacy
The BBCA does not sell, rent, or trade member information. We only use these third-party providers (Square, Mailchimp, and Google) to perform necessary Association business and secure our communityโs records.
